Disclosure Scotland advises Registered Bodies to devise some form of Disclosure application tracking.  The tracking form should be designed to allow you to comply with the requirements of the Code of Practice and should include details of the applicant, dates of the various stages of the application process, application and Disclosure numbers, countersignatory details, positions applied for and recruitment decision.

You may find the attached suggested tracking form useful.  It can, of course, be adapted for your own purposes.


Paragraphs 49 to 52 of the Code of Practice's Explanatory Guide outlines a requirement for recipients of Disclosure information to undertake at the request of Disclosure Scotland an audit of their handling, holding and destruction of Disclosure information.  In the main, this can take the form of completing a self assessment audit and/or co-operating with our staff during a compliance audit visit to the premises of the registered person or body.
